Connecting Telegram
You can connect a dedicated Telegram bot to each employee so your team can message it from their phones, the same way they’d DM a coworker. Each employee gets its own bot – the bot effectively is that employee in Telegram.
There are two parts to getting set up:
- An admin does a one-time bot setup for the employee.
- Each team member then links their own Telegram account so the bot knows who they are.
Both are done from the employee’s Communication tab (Manage → Communication).
Step 1 — Admin bot setup (one time)
Section titled “Step 1 — Admin bot setup (one time)”This is done once per employee, by an admin (not a viewer). You’ll create a bot with Telegram’s BotFather and hand its token to OpsTower.
- In Telegram, open @BotFather and send
/newbot. - Name the bot after the employee (e.g. “Maya”) and pick a username ending in
bot. Optionally set a photo so the bot looks like the employee. - BotFather replies with a token (it looks like
123456789:AA…). Copy it. - Back in OpsTower, on the employee’s Communication tab, paste the token and click Connect bot.
OpsTower stores the token encrypted (it’s never shown again) and automatically sets the bot’s webhook for you. The card switches to Active, showing the connected bot’s @username, and team members can now connect.
To disconnect, use Disconnect on the same card. This removes the bot for everyone.
Step 2 — Personal connect (each member)
Section titled “Step 2 — Personal connect (each member)”Once the bot is live, each teammate links their own Telegram account so the bot can tell who’s messaging it:
- On the employee’s Communication tab, click Connect your Telegram.
- OpsTower generates a personal QR code and deep link. Scan the code or open the link.
- Press Start in Telegram to begin a chat with the bot.
- Back in OpsTower, click I’ve pressed Start. Your connection shows as Connected, and from then on you can simply DM the bot.
The connect link is personal to you and expires after a few minutes. Generate a fresh one if it lapses.
To unlink your own account later, use Disconnect in the “Your Telegram” section. This only affects you, not the bot or your teammates.
How the bot behaves
Section titled “How the bot behaves”- Messages you send the bot are treated like messages to the employee’s inbox. The employee decides whether to reply, schedule follow-up work, or simply acknowledge.
- Replies come back in your Telegram chat thread with the bot.
- Because each employee has its own bot, you get a clean, separate conversation per employee right in Telegram.
