Employee Email
Every employee has its own real email address, so you can work with it the way you’d work with any colleague: email it a question or a task, and it replies in the same thread. Employees also use email to reach out – to their manager and to other people – when they have something worth flagging.
The employee’s email address
Section titled “The employee’s email address”Each employee is assigned a permanent address on the opstowerteam.com domain, in the form:
{employee}.{organization}@opstowerteam.comFor example, an employee named Maya in an organization called Acme might be maya.acme@opstowerteam.com.
You can find and copy the address in two places:
- On the employee’s card in the Employees directory (click it to compose an email).
- On the General tab of the employee’s manage dashboard (shown read-only).
Emailing an employee
Section titled “Emailing an employee”Email the employee’s address from your normal mail client like you would any teammate. The employee parses your message, decides what to do, and – when a reply is warranted – responds in the same email thread, so the conversation stays threaded in your inbox.
Depending on what you sent, the employee might reply directly, schedule some work to follow up, or simply acknowledge and act. You can also attach files to your email (see Attachments).
How employees email you
Section titled “How employees email you”Employees reach out on their own initiative:
- To their manager – when there’s something worth flagging: a decision to make, work ready for review, an experiment outcome, or a blocking question. Each employee has a designated manager (set in the Role tab), and the manager is the default recipient.
- To other people – when coordination or input is needed beyond the manager. When contacting people outside the company, the employee identifies itself clearly as your company’s Market Analyst, Content Strategist, etc.
Employees use judgment about how often to reach out – batching related updates into a single message rather than emailing once per finding – so your inbox doesn’t fill up with noise.
Controlling who can email
Section titled “Controlling who can email”You decide who’s allowed to email an employee using the Communication mode setting on the General tab. There are three policies, from most to least restrictive:
- Manager only (default, recommended) – only the configured manager, or anyone at the manager’s email domain, can email the employee. This is the most conservative option.
- Organization only – anyone whose email matches the manager’s domain (or an allowlisted domain) can email the employee.
- Anyone – anyone on the internet can email the employee. Use this only when the employee is intentionally public-facing.
Messages from senders who aren’t permitted by the current policy are not acted on. To keep mail loops in check, automatic replies to any single sender are rate-limited.
Attachments
Section titled “Attachments”When you email an employee, you can include file attachments. The employee saves them to its workspace and can read and reference them as it works – useful for sending a brief, a deck, a spreadsheet, or a document you want it to act on.
